Job Title: Senior Administrative Assistant
Location: Fountain Valley, CA (Onsite)
Pay: $25-$28/hr.
Employment Type: Temporary (Approx. 6 months covering LOA)
Schedule: Monday-Friday | Flexible hours between 6:00 AM and 5:00 PM

Our client, a leading automotive company, is seeking an experienced Senior Administrative Assistant to provide high-level support to Supply Chain Management leadership, including VP-level executives and their teams.

This role requires a highly organized, proactive professional who can manage multiple priorities, maintain confidentiality, and work independently in a fast-paced corporate environment.

Responsibilities

  • Support VP-level leadership and approximately nine direct reports
  • Manage complex calendars, meeting schedules, and executive priorities
  • Coordinate domestic and international travel arrangements and process expense reports
  • Organize weekly, monthly, and quarterly leadership/governance meetings
  • Attend meetings, take detailed notes, distribute minutes, and track action items
  • Draft and distribute departmental communications
  • Coordinate refreshments and meeting logistics for executive meetings
  • Maintain department organizational charts, contact lists, supplies, and equipment
  • Manage department budgets and administrative processes
  • Partner with internal teams to support special projects and organizational initiatives

Qualifications

  • 4+ years of Administrative Assistant or Executive Assistant experience
  • Experience supporting senior leaders, preferably at the VP level or higher, within a corporate environment
  • Strong calendar management and scheduling experience
  • Experience coordinating travel and submitting expense reports
  • Advanced proficiency in Microsoft Office, including Excel, Outlook, PowerPoint, Word, and OneNote
  • Excellent organizational, communication, and multitasking skills
  • Ability to work independently with minimal supervision
  • Professional demeanor and ability to handle confidential information
  • Bachelor's degree, preferred
  • Budget tracking and meeting governance experience
